Importing and Exporting Workflow in SalesPad

We get a lot of questions related to workflow setup here at SalesPad, and that makes sense with all the options available in our SalesPad GP workflow setup.

However, one of the most common questions isn’t regarding how the rules work or what the “+” at the end of the batch means; it’s “I set up my workflow for one of my order types, but the other two are almost identical – do I really have to set it up again for each one?”

Thankfully, the answer to that question is a resounding “no!”

As you can see in the above screenshot, there are import and export options in the workflow setup module.

Clicking the “Export Workflow” button will prompt you to choose a file path and name to save the workflow path under. The file name will be formatted as “A_B_C.salespadwf”, where A is the company database name, B is the document type, and C is the document ID by default. This creates a .salespadwf file that contains the workflow setup present in whatever sales document ID you click “Export Workflow” from – if you need to export more than one workflow, you can select the appropriate document ID in the left-hand grid on the workflow setup screen and click “Export Workflow” again.

Exporting saves not only the workflow queue names and the configuration for those queues, but the rules that have been setup for that document ID’s workflow as well.

After exporting, workflow can be imported into the new document type by selecting it in the left-hand grid and clicking “Import Workflow.”

You will be prompted to back up your current workflow at this point. For a new document ID or a blank workflow, just click “Yes” to dismiss the message, and a file browser will open. Select the workflow you exported previously, and click “Open.” The queues and rules should then be populated into the grids, and can be modified from here if needed. Make sure to save this new workflow before closing the tab.

When importing workflow, it’s also important to note that the import does not clear any workflow that is currently in place for that document ID. Therefore, if you want to bring in a fresh workflow, any current rules and queues for that document ID would need to be deleted first.

After deleting, make sure to save before clicking import; not saving after deleting can interfere with the sequencing during the import process, which leads to extra steps to complete the re-import.

Finally, the export functionality also provides an excellent tool to backup workflow either for archival, or before making changes. It even allows you to set up workflow in one company and import it into a second company, both very helpful regardless of workflow complexity.
